Privacy Policy

1. Who we are
CircuitMap (“we”, “us”) provides a web platform for mapping and managing electrical infrastructure inside buildings. This policy explains how we handle personal data on this website and within the CircuitMap service. For privacy enquiries, contact us at hello@circuitmap.co.uk.
2. Data we collect
Enquiries. When you contact us or request a demonstration, trial or quotation, we collect the details you provide: your name, email address, organisation and message.
Service accounts. When your organisation uses CircuitMap, we process account details for authorised users (name, username, email address) and records of activity within the service (such as sign-ins and changes to records) for security and auditability.
Customer content. Floor plans, electrical records, documents and other content your organisation stores in CircuitMap are processed solely to provide the service. Your organisation remains the controller of this content; we act on its instructions.
Technical data. Our servers keep standard logs (IP address, request details) needed to operate, secure and troubleshoot the service, including rate-limiting of sign-in attempts.
3. How we use data
We use personal data to:
respond to enquiries and provide demonstrations, trials and quotations; operate, secure and support the CircuitMap service; maintain audit trails required by our customers; meet our legal obligations; and improve the service. We do not sell personal data, and we do not use customer content for advertising.
4. Legal bases
Where the UK GDPR or EU GDPR applies, we rely on: performance of a contract (providing the service to your organisation), legitimate interests (responding to enquiries, securing the service, preventing abuse), and legal obligation (where retention or disclosure is required by law).
5. Sharing
We share personal data only with service providers who help us run CircuitMap (such as hosting providers), under contracts that restrict their use of the data, and with authorities where the law requires it. We do not share customer content with third parties except on your organisation’s instructions.
6. Retention
Enquiry details are kept for as long as needed to handle the enquiry and for a reasonable follow-up period. Service data is retained for the duration of your organisation’s subscription and deleted or returned on exit, subject to short backup retention windows and any legal requirements.
7. Security
Data is encrypted in transit, access is role-based and validated server-side on every request, and changes to records are auditable. Dedicated single-tenant deployment options are available. See our Security page for more detail.
8. Your rights
Depending on your location, you may have rights to access, correct, delete or restrict the processing of your personal data, to object to processing, and to data portability. To exercise these rights, contact us at the address above. If you are an end user of a customer’s CircuitMap instance, we may refer your request to that organisation as the data controller. You also have the right to complain to your supervisory authority (in the UK, the Information Commissioner’s Office).
9. Cookies
The marketing website does not use advertising or analytics cookies. The CircuitMap application uses a strictly necessary session cookie to keep authorised users signed in.
10. Changes to this policy
We will post any changes to this policy on this page and update the date above. Material changes affecting customers will be notified directly.
